A New Way to Process Employee Separations

Effective as of Friday, April 21, 2017, there is a new way to process employee separations from the College. Located in Atlas on the “Employees” tab, the new Employee Separation Form should be used when an employee has resigned, been dismissed, retired or is at the end of a contract period or job assignment. This online form will replace the HR Action Form for FT Employees HR #25, which was previously used in the employee separation process.

To use this online form, follow the steps below:

  1. Log in to Atlas. 
  2. Go to the “Employees” tab.
  3. In the “My Human Resources” channel, click “Time, Leave & Personnel Action Processing.”
  4. Select “Employee Separation Form.”

This new Employee Separation Form will improve and inform employee out-processing and provide timely notification to the Office of Information Technology (OIT) for the removal of system access. Although this process will remove access to Valencia College network applications, including Banner, Outlook, Atlas, Blackboard, etc., you should also remove access to any third party applications that are in use within your department.

Both full-time and part-time employee separations will be processed using this form, including federal and institutional work-study students. However, this form does not replace the HR Employee Checkout Form HR #21, and a Certificate of Absence for leave will be required where needed.

Once this online form has been completed, notification will be sent to: Payroll, HR Employee Records, Campus Organizational Development and Human Resources (ODHR) Directors, Benefits and to supervisors two levels up within the division. OIT will then terminate access to Valencia applications and network.

Please note that the Employee Separation Form is used as a separation notification request and does not terminate employment. Continue to work with your Organizational Development and Human Resources partners for dismissals and non-renewals. You should also continue to work with ODHR to complete the HR Action Form for FT Employees HR #25 on the following actions:

  • New hires (full-time)
  • Leave of absence
  • Promotions
  • Reduced grade (demotions)
  • Reappointment and reassignment
  • Reinstatement
  • Full-time to part-time transitions
