Purchasing Technology Equipment and Software

Procurement-News-grove

A message from Rhonda Ulmer, Managing Director, Procurement

On Wednesday, July 1, 2015, the Office of Information Technology (OIT), in collaboration with procurement, finance and budgeting departments, implemented a new, centralized purchasing process for the acquisition of all technology equipment, including printers and software. Reminder: All technology purchases must be made using this system and Pcards cannot be used to purchase technology.

This centralized purchasing model for technology hardware and software accomplishes the following goals:

  • Streamlines the process of technology procurement
  • Ensures licensing compliance for software and compatibility of devices with Valencia’s network environment
  • Provides increased information security and efficient technical support by OIT
  • Increases the efficiency and savings for Valencia College

Requesting and Approving Technology Equipment for Purchase
To access the system for purchasing technology hardware and software, budget managers and those who can submit purchase orders may follow these steps:

  1. Log in to Atlas
  2. Go to the Employees tab
  3. In the Employee Support channel, click on “Service Requests”
  4. From the drop down menu, select “Technology Purchases”
  5. Enter your Atlas login username and password

Upon accessing the system, you are able to enter technology purchase requests (orders), view the technical purchases associated with your budget for the fiscal year-to-date and review and approve any technical purchases from your assigned budget.

Once a purchase is submitted, OIT will review and approve the order. Budget managers can then approve the order in the system. Purchases will be fulfilled and delivered to the requester by OIT. Items more than $1,000, or any workstation, laptop or tablet, regardless of its cost, will be tagged by Property Management.

Equipment that costs less than $1,000 should be coded to 705060, and equipment that costs more than $1,000, but less than $5,000 should be coded to 706060. Make sure that funds are available and encumbered before making the purchase.

If you need to make a technology purchase and are unsure about whether it should be purchased using the OIT Purchasing Process, please contact a member of the procurement team by emailing ValenciaProcurement@valenciacollege.edu. Should you have questions on accessing the technology procurement system, please contact the OIT Service Desk at OITServiceDesk@valenciacollege.edu or extension 5555. You may also submit a service request through the OIT online portal.
