It’s time for the annual reappointment process to begin. Please take note of the important timeline below.
The annual reappointment process applies to only regular full-time administrative employees and regularly appointed full-time faculty (tenure track, 8-month, 10-month and 12-month).
1. Wednesday, February 21, 2018 – Communications Sent
Organizational Development and Human Resources (ODHR) will send memos to supervisors of full-time administrative employees and regularly appointed full-time faculty (tenure track, 8-month, 10-month and 12-month) no later than Wednesday, February 21, 2018.
During February and March, supervisors should consider all reappointments and have open communication with their respective vice president or campus president regarding any concerns. Please consult with your regional ODHR director to discuss potential non-renewals.

2. Tuesday, April 3, 2018 – Decisions Made
All annual reappointment non-renewals must be completed, approved and returned to your regional ODHR director by no later than Tuesday, April 3, 2018.
All decisions and recommendations related to the non-renewal of regular (i.e., not temporary or grant) employees must be properly noted, and each memo approved by the appropriate executive-level administrator (president, executive vice president, vice president or campus president) prior to being provided to your regional ODHR director.
Only non-renewals need to be noted and returned to your regional ODHR office no later than Tuesday, April 3. Renewals do not need to be returned, and ODHR will proceed to process employees for 2018-2019 employment continuation.
3. Monday, April 30, 2018 – Employees Notified by Supervisor
Supervisors must notify all non-tenure eligible employees of non-reappointment decisions by no later than the last business day in April. Your regional ODHR team will be available to assist during employee notification meetings.
4. Thursday, June 7, 2018 – Submission to District Board of Trustees for Approval
The HR Board Agenda that will include all regular appointments and all tenure recommendations will be submitted for the June meeting of the District Board of Trustees.
5. Wednesday, June 27, 2018 – District Board of Trustees Approval
Unless appearing on an earlier agenda*, all regular reappointments and all tenure recommendations (all regular actions) will be presented to the District Board of Trustees for approval. *Non-reappointment actions and those not being recommended for tenure will not be placed on the board agenda as their contracts are expiring and do not need board action.
Faculty eligible but not recommended for tenure: As part of the regular tenure process, tenure-track faculty in the final stages of tenure award eligibility may be notified in late February or early March if they will not be recommended for tenure.
Grant and temporary employees: A separate communication will be sent from ODHR regarding grant and temporary employees, which may be included on the HR agenda submitted for the July meeting of the District Board of Trustees. This is facilitated by the submission of HR-25 forms for each temporary and grant employee by their direct supervisor.
